POSITION SUMMARY APPLICABLE TO THIS ROLE
Key responsibilities you are required to provide:
- Administrative support in matters relating to HSEQ to Grosvenor Engineering Group (GEG) and its businesses including tenders and client prequalification of GEG, Contractor (subcontractors, suppliers, consultants) management and prequalification and inductions, onboarding and offboarding of employees, suppliers and subcontractors.
- Maintenance of GEG internal HSEQ related systems, portals and applications and client portals with data for HSEQ prequalification, employee and subcontractors’ inductions and related costs.
- Maintenance of Customer portals including GEG’s prequalification, maintenance of documents such as risk assessments and SWMS, permit to work, inductions and training.
- Data entry to GEG and Customer portals including ARMS, Rapid, Incident Admin App, SharePoint, Audit and Corrective Action Registers and other related to those directed by Customers.
- Maintenance of contractors’ registration and recording of their insurances, licenses, contractor employees and its verification and update.
- Assistance with the proactive management of activities associated with HSEQ function. This includes the provision of administrative support to management and employees in relation to inductions, safety related training, reporting, applications with other programs and projects.

Manage timely and accurately processing of HSEQ transactions in GEG and client portals including safety and induction inboxes and related reconciliation of expenses all safety inductions for GEG’s Safety and Client specific safety requirements using portals and management of renewals.

Coordinate the distribution of all HSEQ related communications and consultation.

Completion of HSEQ related activities and maintenance of system and portals and action follow up as allocated by the Head of HSEQ

Meeting Client Requirements: Comply with customer/client requirements imposed on GEG which may apply to performing your work at their site.

At least two years of similar work in relation to HSEQ systems and portal.
Experience in a safety team or a safety related qualification
Good time management to prioritise important day to day work in advance and ability plan and allocate reactive work based on the urgency, if any.
Analytical skills to access the GEG system and portal to run reports to identify any gaps and needs for update and present this to HSEQ for prioritisation.
